How It Works

Setting a freelance rate is significantly different from converting an employee salary. As an independent contractor, you do not receive paid time off, employer pension or healthcare contributions, paid sick leave, or equipment allowances. Furthermore, only 50% to 65% of your work hours can realistically be billed to clients.

Hourly Rate = [(Target Income + Expenses + Self-Employment Tax) × (1 + Margin%)] ÷ (Billable Hours × Billable Weeks)

For instance, if your personal income target is $80,000, your business overhead is $5,000, and you plan for 25 billable hours across 46 working weeks (1,150 billable hours per year):

After factoring in mandatory self-employment tax obligations (~15.3%) and a 15% profit buffer to weather dry spells, your required gross billing is approximately $112,700, resulting in a recommended hourly rate of $98/hr ($784/day).

Frequently Asked Questions

How do I calculate my freelance hourly rate?
Add your target personal take-home income, business overhead expenses, and self-employment taxes. Then divide by your billable hours per year (billable hours per week × working weeks). Multiply by your profit margin to determine your recommended rate.
How many billable hours per week should a freelancer assume?
Most successful freelancers only bill between 20 and 30 hours per week. The remaining 10 to 20 hours are required for marketing, client communication, invoicing, self-education, and business administration.
How do freelancers account for vacations and sick days?
Instead of planning for 52 work weeks, calculate with 44 to 48 billable weeks per year. This automatically covers 3 to 4 weeks of holiday, statutory public holidays, and unexpected sick days without sacrificing your income.
How is a freelance day rate calculated?
A standard freelance day rate is typically 7 to 8 times your hourly rate. Charging a day rate protects you against scope creep on shorter projects.
